Executive Assistant to the CEO

We are seeking a highly capable, legally astute Executive Assistant to act as the CEO’s trusted right hand across both business and selected personal matters. This is not a traditional assistant role — it requires someone with a strong legal, compliance, or corporate governance background who can confidently manage sensitive, high-level work.

This is a part-time position with flexible hours, ideally 08:30–14:30, making it suitable for candidates who value work-life balance while contributing at the highest professional level.

Within 6–12 months, the right candidate will be able to independently manage smaller decisions, anticipate needs, and ensure that both corporate and personal priorities are executed seamlessly.

Key Responsibilities

Corporate & Legal Coordination
 • Liaise with regulators, tax authorities, and legal counsel on matters relating to the CEO’s companies and associated entities.
 • Draft, review, and coordinate formal correspondence and responses for regulatory, tax, and compliance matters.
 • Oversee and manage bank account processes across jurisdictions, ensuring all documentation meets KYC, AML, and compliance requirements.
 • Maintain organized corporate records, filings, and statutory documents.
 • Coordinate with accountants, auditors, and advisors to ensure deadlines and obligations are met.

Executive Business Support
 • Proactively manage the CEO’s calendar, prioritizing and scheduling meetings and strategic sessions.
 • Screen and summarize incoming emails, chat messages, and correspondence, drafting responses for review.
 • Prepare meeting briefs, conduct research, and track follow-up actions to completion.
 • Review monthly business and financial reports, highlighting key changes and areas for attention.
 • Coordinate domestic and international travel arrangements, including complex itineraries.
 • Represent the CEO professionally in interactions with senior stakeholders, partners, and institutions.

Private & Family Office Support
 • Assist with selected family-related administrative matters.
 • Coordinate personal travel, events, and engagements while ensuring confidentiality.
 • Maintain records and documentation for personal assets, properties, and investments.
 • Support personal banking, insurance, and contractual matters in alignment with compliance requirements.

Qualifications
 • Proven experience in an Executive Assistant, Legal Assistant, or Family Office role supporting senior leadership or UHNW individuals.
 • Strong legal, compliance, or corporate governance background, with ability to handle regulatory, tax, and banking processes.
 • Exceptional organizational, multitasking, and time-management skills.
 • Outstanding written and verbal communication skills.
 • High proficiency in Google Workspace, Microsoft Office, and professional communication tools.
 • Absolute discretion and ability to manage sensitive information.
 • Comfort with occasional international travel.
